Please ensure you follow all precautionary measures while scheduling your consultation to maximize its effectiveness and professionalism. A step-by-step approach is provided here:
Step 1: Canadian Immigration Department’s guidelines
Most experienced Canadian immigration counsels are based in Canada and work independently, without the use of agents or intermediaries. For your peace of mind and the success of your application, it’s in your best interest to seek guidance from a licensed immigration counsel if you choose to proceed with professional representation.
Please take the time to review what the Canadian Immigration Department expects applicants who are using paid representatives to adhere to: Learn about representatives – Canada.ca
Step 2: Licenced representative’s access to Clients
Licensed immigration practitioners are required to provide accessible communication to their clients. Most professionals offer free general access through open platforms, while others may limit their availability to written communications or paid consultations.
At Polinsys, we prioritize transparency and accessibility by partnering with a licensed practitioner who offers FREE access to clients and prospects through live Q&A sessions held most Fridays. These sessions provide a valuable opportunity to gain direct insights into your immigration options and ask questions to your Authorized Representative.
If you are a client or prospect, take advantage of this opportunity to receive professional guidance. Join the next Q&A session here: https://myar.me/zoom.
Step 3: Obtain and verify Licenced Immigration Professional’s experience:
Before moving forward, request and review a copy of the Canadian Immigration Counsel’s resume. This will give you an understanding of their qualifications and experience. View Joy Stephen’s Resume
Step 4: Verify Immigration Counsel’s Licence
Always verify the immigration counsel’s license and representation status to ensure they are authorized by the Canadian government to represent you.

Step 6: Familiarize yourself with the Canadian Complaints Process
Where do you file a complaint and recover your payment if the promises made by a Licensed Consultant or Counsel are not honoured?
This is a critical aspect of your immigration process. By following this guide and adhering to each recommendation, you can ensure that your payment of fees is made in a professional and secure manner, avoiding the risk of being misled. Fees may be paid directly to a trust account audited by the regulator or if no advance payment is being made, it can be paid directly to the Immigration Counsel’s account.
Keep all communications intact, including resumes, contracts, and any promises made by the Licensed Consultant or Counsel. If at any point you believe you’ve been deceived, the Canadian Immigration Department has established a clear complaints process to protect foreign nationals. You can seek remedy by following this process. Visit this link to learn more about how to file a complaint. You may also file a complaint directly on the Canadian Immigration Regulators website. The Canadian immigration complaints system extends globally to ensure that all applicants, regardless of location, have access to the support they need.
